What the free assessment actually involves

The assessment is real research, not a sales call with homework attached. You give us your company name and website; we study how your business operates — the services you sell, the tools you appear to run on, how work likely flows from first contact to invoice — and we publish a personalized page at soxoa.com/for/your-company with three to five specific automation opportunities. Each one names the workflow, describes the system we would build, and carries an honest impact estimate and a complexity rating.

There is no call required to see the research, no card, and no obligation. Some companies take the assessment and implement ideas themselves — that is a fine outcome. The assessment exists because scoping a build without understanding the operation is how automation projects fail, and we would rather do the understanding for free than bill you for a system aimed at the wrong problem.

What a Quick-Win Build includes

One workflow, taken off your team's plate completely. We pick it together from the assessment findings — usually the highest-volume, lowest-judgment work: document intake, quoting, inbox triage, follow-ups, data re-entry between systems. The scope is fixed in writing before work begins: what the system does, what counts as success, and the price. From $5,000, depending on how many systems it touches and how much judgment the workflow involves. No hourly meter, so a slow week costs us, not you.

The build integrates into the tools you already use rather than adding another login. It ships with error handling and an exceptions path — the messy edge cases route to a person instead of failing silently — plus documentation your team can run from day one. After go-live there is a handoff window where we tune the system on real output, because the first two weeks of production data always teach the system something the scoping could not.

How the Automation Partner engagement works

This is for teams that have seen the first system pay off and want to keep going. Instead of scoping one build at a time, we maintain a prioritized roadmap across departments — each quarter reviewing what changed in your operations, what new automation opportunities opened up, and what existing systems need tuning as volume grows. Pricing is a custom monthly engagement scoped to that roadmap, agreed in advance like everything else.

You keep a direct line to the person who builds and runs the systems — no account manager between you and the work. Monitoring, priority support, and ongoing optimization are part of the engagement, so the automations keep earning their place as the business changes instead of quietly rotting the way unowned internal tools do.

Process & timeline

How an engagement runs

  1. Research (free, about a week). We study your operations and publish the personalized assessment: three to five specific opportunities, each with an impact estimate and complexity rating. You review it on your own time.
  2. Scoping call (30 minutes). If the findings are worth pursuing, we walk through them together, confirm priorities, and define the first build: exactly what the system will do, what success looks like, and the fixed price. No pitch, no pressure to continue.
  3. Build and integrate (one to four weeks). We build the system into your existing stack and test it in your environment on your real data. Quick wins ship in one to two weeks; most first systems are live in production within about 30 days of signing.
  4. Handoff and tuning. You get documentation your team can run from day one, and a handoff window where we tune the system against real production output. From there you own it — or roll into the Automation Partner engagement to keep building.

Pricing questions

How pricing actually works

Why does every package start with the free assessment?

Because scoping a build without understanding your actual operations is guesswork — and that's how automation projects fail. The assessment is real research: we show you specific opportunities with honest impact estimates first, so any engagement that follows is scoped to something we've already validated.

What determines where a build lands above $5,000?

Scope. A single, well-contained workflow starts at $5,000. Price moves with the number of integration points, the complexity of the judgment involved, and how many systems it has to touch. You see the scope and the number before you commit — no open-ended hourly billing.

Do I have to commit to an ongoing partnership?

No. Most clients start with a single Quick-Win Build. The Automation Partner engagement is for teams that have seen the first system pay off and want to automate across more of the business. You graduate into it only if it makes sense.
