Privacy Policy

This policy explains how Soxoa LLC (“Soxoa,” “we,” or “us”) handles information when you visit soxoa.com, request an assessment, or contact us.

Information we collect

You may provide your company name, website, email address, optional phone number, project details, and files you choose to attach. Our hosting provider also processes ordinary request information needed to deliver and secure the site, such as IP address, request time, browser details, and requested URL.

Drafts and measurement

The assessment form may store a functional draft token in your browser and save an unfinished draft so you can continue later. Soxoa does not run session recording or advertising pixels. Private assessment pages are excluded from Google Analytics. Public marketing pages may use Google Analytics after consent; assessment form values and attachments are never included in those events.

Private assessment pages record limited first-party operational events in Soxoa’s database, such as whether a page was viewed, a value section was reached, a link was selected, and the maximum scroll depth and time on page. We use those records to deliver and improve the requested assessment; they do not contain keystrokes or file contents. If you choose to schedule through Cal.com, Cal.com’s privacy terms apply to that step.

Optional Google Analytics

Google Analytics runs only after you accept optional analytics. It measures selected public page visits and navigation links using cookies that expire after 90 days. We exclude private application pages, document-processing routes, query strings and fragments, and do not send form values or document contents. Automatic form, search and download tracking and advertising personalization are disabled. Use Analytics choices to decline or withdraw; withdrawal stops collection and removes Google Analytics cookies. Global Privacy Control and Do Not Track override acceptance.

How we use information

We use information to respond to you, prepare and deliver assessments, provide requested services, and operate and secure the site. We do not sell your personal information.

Service providers and retention

We may share information with service providers that help us host the site, store data, deliver email, schedule meetings you request, and provide requested AI-enabled services. We retain information only as long as reasonably necessary for these purposes, our records, and legal obligations.

Soxoa Studio and the free workflow check

The free workflow check sends only the process details, examples, and recordings or selected images you choose to submit for AI processing. It does not require an account. Soxoa does not save the transcript, recording, typed description, or images you submit. We save the finished AI workflow blueprint and the name, email, and company you enter so we can email you a private link to it and follow up about implementation; Resend delivers that email. Anyone with the private link can view that blueprint. We retain limited request counters to control abuse. The interview and workspace are excluded from marketing analytics.

Voice and video recordings are forwarded for transcription when you consent. Raw recordings are not retained by Soxoa. You can review and edit the transcript and selected still images before using them in your interview. AI providers process this material under their own service terms. The interface identifies the provider and model used; OpenRouter may route requests to a model provider. Avoid including credentials or material you do not have permission to share.

If you start a live AI interview, your microphone audio streams to OpenAI while the session is connected. Live captions and draft notes also go to the configured reasoning provider to map your process during the conversation. If you separately choose to share a screen or camera, selected still frames are sent for AI interpretation. You can mute, stop sharing, or end the interview at any time. Soxoa does not retain the raw live audio or frames. The live session requests no provider recording storage; provider service and data-retention terms still apply. Temporary session identifiers, deadlines, and limited request counters support the interview time and usage limits. When you finish, the conversation is used once to build your blueprint and is not stored by Soxoa.

If you choose a saved Studio workspace, we retain its process evidence, transcripts, designs, proposals, evaluation results, workflow inputs and outputs, approvals, and usage records to deliver that service. You can delete the workspace from its settings. Payment records held by the payment provider and records required for accounting may remain. Cloudflare hosts the application, Neon stores workspace data, and Resend delivers requested sign-in messages.

Your choices

You may ask to access, correct, or delete information you have submitted by emailing john@soxoa.com. You can clear locally stored draft information through your browser settings.

Security, children, and updates

We use reasonable safeguards, but no online service can guarantee absolute security. This site is intended for businesses and is not directed to children under 13. We may update this policy and will post the revised date here.
